Full Paper Submission
Deadline for Full Paper Submission : SEP 5 (Fri.)

NOTE
1. All submitted papers must be written in English.
2. The submitted paper must not have been previously published or submitted to any journals, conferences, or other meetings.
3. All papers will be verified using the IEEE CrossCheck portal prior to acceptance.
This system was developed by IEEE to detect plagiarism and multiple submissions.
4. The full paper must be at least 5 full pages and no more than 10 pages in the required format.
The regular registration fee covers up to 6 pages; an extra fee will be charged for each additional page.
5. All papers should must be submitted via EasyChair
Step 1 : Prepare your full paper source document with IEEE formation.
A template, including Microsoft Word and LaTeX ones, are provided for the preparation of your full paper.
Step 2 : Add copyright notice to the source document
IEEE requires all authors or their employers who intend to publish in the IEEE Xplore Digital Library to provide a transfer of the copyright.
There is an example “XXX-XXXX-XXXX-X/XX/$XX.00 ⓒ20XX IEEE” in the footer on the lower left of the first page of the Word template.
Please follow the copyright notice below to replace it with the copyright notice that suits your situation, and Latex template users need to add it in the corresponding location by themselves (before creating PDFs).
1. For papers in which all authors are employed by the US government, the copyright notice is : U.S. Government work not protected by U.S. copyright
2. For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is : 979-8-3503-6694-5/24/$31.00 ⓒ 2024 Crown
3. For papers in which all authors are employed by the European Union, the copyright notice is : 979-8-3503-6694-5/24/$31.00 ⓒ 2024 European Union
4. For all other papers the copyright notice is : 979-8-3503-6694-5/24/$31.00 ⓒ 2024 IEEE
Step 3 : Register and login to your account
The submission and review of papers for SCEMS 2025 will be managed through an online conference paper management System called EasyChair. This system gives you, the author, complete control over your submission. If this is the first time you use EasyChair, a new account has to be created. (If you already have an account, you can skip 2-3)
1. Log in to the SCEMS 2025 EasyChair website
2. Click on “Create account” and fulfill the following fields.
– First Name & Last Name
– Email
– Affiliation
– Country / Region
– Password & Retype password
3. After filling all information required, click on “Continue” to proceed. An email with the verification code will be sent to activate your account, please check your inbox or junk mail. Then, enter the code in the website form below, and click “Create Account”. After filling all required fields and clicking on “Submit”, a window will pop up saying that the account has been saved successfully. (Note that the code expires in 120 minutes.)
4. So far, you have created your personal EasyChair account, please click on “Login” to proceed. You must use the same email address that you signed up with when creating the EasyChair account.
5. Clicking on “Log in” will direct you to a new page providing title for SCEMS 2025 (2025 IEEE 8th Student Conference on Electric Machines and Systems). If the sentence isn’t displayed, please ensure you’ve logged into your account and verified the paper submission link provided beforehand.
Step 4 : Full paper submission
1. Log in to EasyChair -SCEMS 2025, and Click on the “Make a new submission”.
2. Fill in the author details : NAME, EMAIL, COUNTRY, AFFILIATION, and WEBPAGE (if applicable). → For more than three authors, click “Click here to add more authors”.
3. Enter the paper title, abstract (max 250 words, no HTML), and keywords.
4. Select one topic that best matches your paper.
5. Upload your paper in PDF format (.pdf) and click “Submit”.
6. After submission, a menu like “Submission #” or “My Submissions” will appear.
→ You can edit your submission info through this menu.
7. You will receive a confirmation email upon successful submission.
